Privacy Policy for NavMath

1. About this policy
NavMath is provided by Prograde Aerospace, a business operated by Lablack Designs Pty Ltd as trustee for the Lablack Family Trust.
In this Privacy Policy, “Prograde Aerospace”, “we”, “us” and “our” refer to that entity.
This Privacy Policy explains how we collect, hold, use and disclose personal information when you use:
- the NavMath mobile application;
- the NavMath administration portal; and
- related account, licensing and support services.
This policy applies to NavMath users wherever the service is made available. Depending on where you are located, you may also have additional rights under applicable local privacy laws.
2. How NavMath accounts are created
NavMath accounts are generally created and administered by a flight school, training provider or other customer organisation.
The organisation provides the learner’s name and email address, assigns access to NavMath and administers the licence associated with the account.
Your training organisation may have its own privacy policy covering how it collects and handles your information. This Privacy Policy covers Prograde Aerospace’s handling of information through NavMath and the NavMath portal.
3. Information we collect
Account information
We may collect and hold:
- your name;
- your email address;
- a randomly generated internal User ID;
- your organisation and account role;
- your licence assignment and licence status; and
- account activation and authentication information.
Names and email addresses are encrypted before being stored in the NavMath portal database.
Device and application information
When NavMath is activated or used, we may collect:
- a device UUID;
- a hashed device vendor identifier;
- the device model;
- the device name;
- the device platform;
- the operating-system version;
- the installed NavMath app version;
- device registration and licence-seat information; and
- the date and time the device was last used to access the service.
This information is used to associate a NavMath licence with an authorised device and to administer access to the service.
Authentication and security information
We may collect and hold:
- login and session timestamps;
- session creation, last-used and expiry times;
- login attempts;
- IP addresses recorded in security, audit and rate-limiting logs;
- security events; and
- administration activity recorded through the portal.
IP addresses are not stored as part of the learner’s ordinary user or device profile. They are retained only in security, audit and login rate-limiting records.
Passwords
Passwords are managed through our authentication provider, Neon Auth.
Prograde Aerospace does not store readable passwords in the NavMath portal database. Neon Auth stores passwords as salted password hashes. Plaintext passwords are used only transiently during authentication and are not intentionally persisted or logged.
Learning progress
The current version of NavMath records learning progress and results locally on the user’s device.
The current version does not transmit question results, answers, scores, attempts or learning-progress information to the NavMath portal or to instructors.
If this changes in a future version, we will update this Privacy Policy and the App Store privacy information before introducing that collection.
Support information
If you contact us for support or make a privacy request, we may collect the information contained in your communication and any information reasonably required to investigate or respond to your request.
4. How we collect information
We collect information:
- from the organisation that creates or administers your account;
- directly from you when you activate your account, sign in or contact us;
- automatically from the NavMath application and your device when the app communicates with the NavMath portal; and
- from security and audit records created when the service is accessed or administered.
5. How we use information
We use personal information to:
- create and administer NavMath accounts;
- authenticate users;
- assign and validate licences;
- associate licences with authorised devices;
- provide access to NavMath features;
- send account invitations, password-reset messages and service notifications;
- maintain account and session security;
- prevent unauthorised access, abuse and excessive login attempts;
- administer customer organisations and user roles;
- provide technical and customer support;
- investigate errors and security events;
- maintain audit and compliance records;
- comply with legal obligations; and
- protect the rights, safety and security of users, customers and Prograde Aerospace.
We do not use NavMath account or device information for third-party advertising, targeted advertising or advertising measurement.
We do not use the NavMath application to track users across apps, websites or services operated by other organisations.
We do not sell personal information.
6. Who may access or receive information
Your training organisation
Authorised administrators from the organisation that created your account may access information required to administer your NavMath access, including your name, email address, account status and licence information.
Prograde Aerospace
Authorised Prograde Aerospace personnel may access account, licence, device and security information where necessary to operate, support and secure NavMath.
Service providers
We use service providers to operate NavMath, including:
- Amazon Web Services, including hosting infrastructure in Sydney and AWS Simple Email Service for transactional emails such as invitations and password resets; and
- Neon, which provides database and authentication services.
These providers process information on our behalf for the purpose of operating NavMath. They are not engaged to use NavMath information for advertising.
Legal and safety disclosures
We may disclose information where reasonably necessary to:
- comply with a legal obligation or valid request from a court, regulator or government authority;
- investigate suspected fraud, security incidents or unlawful conduct;
- protect the rights, property or safety of Prograde Aerospace, users or other persons; or
- establish, exercise or defend legal claims.
If the NavMath business or associated assets are sold, transferred or reorganised, relevant information may be transferred as part of that transaction, subject to appropriate privacy protections.
7. Data location and overseas processing
The NavMath portal is currently hosted using Amazon Web Services infrastructure located in Sydney, Australia.
The primary NavMath database and authentication service are also hosted through Neon infrastructure located in Sydney.
We do not currently intentionally store NavMath application data or backups outside Australia.
However, some authentication traffic may be routed through or processed using infrastructure located in the United States of America. This may occur when a user signs in or manages their authentication credentials.
We take reasonable steps to ensure that service providers handling personal information apply appropriate privacy and security protections.
8. Retention and deletion
We retain personal information while an account remains active and for as long as reasonably necessary to:
- provide and administer NavMath;
- maintain account and system security;
- manage licences;
- comply with legal obligations;
- resolve disputes; and
- maintain necessary audit records.
You may request access to, correction of or deletion of your account information by:
- contacting the training organisation that administers your NavMath account; or
- contacting Prograde Aerospace directly at support@progradeaerospace.com.au.
You do not need to contact your training organisation before contacting us.
We may need to verify your identity and, where appropriate, coordinate with the organisation that administers your account.
When a learner account is deleted, the following information is ordinarily removed:
- the authentication account;
- the stored name and email address;
- the internal User ID;
- role assignments; and
- active login and mobile sessions.
Certain audit records may remain in de-identified form so that required security and compliance records can be maintained.
A device-registration or licence-seat record may remain after account deletion but will no longer be linked to the deleted user account. You or your training organisation may ask us to release or remove that device registration separately.
We may retain information where required or permitted by law, or where reasonably necessary for security, fraud prevention or dispute resolution.
9. Access and correction
You may request access to personal information we hold about you or ask us to correct information that is inaccurate, incomplete or out of date.

We may need to verify your identity before providing access or making a correction.
There may be circumstances where we are legally permitted or required to refuse access. If that occurs, we will explain the reason where reasonably able to do so.
10. Privacy complaints
If you believe that we have not handled your personal information appropriately, contact us at:

Please provide enough information for us to understand and investigate your concern.
We will acknowledge and investigate privacy complaints and aim to respond within a reasonable period.
Where Australian privacy law applies and you are not satisfied with our response, you may also contact the Office of the Australian Information Commissioner.
11. Security
We use reasonable technical and organisational measures intended to protect personal information, including:
- application-level encryption of names and email addresses;
- hashed identifiers used for account lookup and device management;
- salted password hashing through our authentication provider;
- secure hosting and authentication services;
- access controls;
- session management;
- security and audit logging; and
- login rate limiting.
No method of electronic transmission or storage is completely secure. Although we take reasonable steps to protect information, we cannot guarantee absolute security.
12. Users under 18
NavMath is intended for users aged 13 years and over.
Where a training organisation creates an account for a person under 18, that organisation should ensure it has the appropriate authority to provide the person’s information and arrange their access to NavMath.
NavMath is not intended for children under 13. If we become aware that an account has been created for a child under 13 without appropriate authority, we may suspend or delete the account and associated personal information.
13. Third-party links
NavMath may contain links to websites or services operated by other organisations.
We are not responsible for the content or privacy practices of third-party websites or services. You should review their privacy policies before providing them with personal information.
14. Changes to this Privacy Policy
We may update this Privacy Policy when:
- NavMath features or data practices change;
- service providers change;
- legal or regulatory requirements change; or
- further clarification is required.
The revised policy will be published on our website and the “Last updated” date will be changed.
Where a change materially affects how we collect, use or disclose personal information, we may also provide notice through NavMath, the portal, email or the relevant training organisation.
